Easy Returns & Refund Policy – ROADWEST Truck Parts
At ROADWEST Truck Parts (www.roadwesttruckparts.com), we stand behind the heavy-duty and semi-truck parts we sell. If something is not right with your order, our goal is to resolve it quickly and fairly so your truck can get back on the road with minimal downtime.
This Easy Returns & Refund Policy applies to eligible orders placed on our website and shipped within the United States. Please read it together with our Shipping Policy, Warranty, and FAQ.
1. How This Policy Works With Other ROADWEST Pages
This policy is part of a connected support system across ROADWEST:
- Shipping Policy – carriers, transit times, freight and local pickup rules.
- Warranty – coverage for defects and product failures after installation.
- FAQ – quick answers about orders, fitment, and returns.
- Contact Us – start a return, exchange, or support ticket.
- Order Tracking – live status of your shipment.
- Why Shop at ROADWEST? – our quality and inspection standards.
- About Us – who we are and how we support professional drivers.
By placing an order on www.roadwesttruckparts.com, you agree that all returns, exchanges, and refunds will follow the rules on this page plus our other support policies linked above.
2. Standard Return Window & Eligibility
To keep returns simple and fair for both sides, most unused parts can be returned under the conditions below:
- Return window: You must request a return within 30 calendar days of the delivery date shown in your tracking.
- Condition: Parts must be in new, unused, and resalable condition with no signs of installation, mounting, or road use.
- Packaging: Include all original boxes, labels, bags, hardware, brackets, protective films, and instructions. Items that are scratched, dented, modified, painted, or incomplete may be refused or subject to a reduced refund.
- Vehicle fitment: Customers are responsible for confirming fitment (year, make, model, engine, cab style, etc.) before ordering. If the wrong truck was selected, the return is treated as a standard customer-choice return.
- Shipping fees: Original shipping charges (if any) are non-refundable unless the return is due to a confirmed ROADWEST error (wrong item shipped, duplicate shipment, etc.).
Non-returnable items (except for approved warranty claims):
- Electrical and electronic components once connected, installed, or powered on.
- LED modules, bulbs, harnesses, and lighting electronics that have been wired or modified.
- Custom-built, special-order, painted, engraved, or otherwise customized parts made specifically for your truck.
- Items clearly marked as “final sale,” “non-returnable,” or “closeout” on the product page.
- Gift cards, store credit, and other non-physical products.
If you are unsure whether a part is returnable, please check with us before ordering or before opening the packaging via our Contact Us page.
3. How To Start A Return (RMA Required)
All returns require a Return Merchandise Authorization (RMA) number before you send anything back to ROADWEST. Packages sent without an RMA may be refused, delayed, or not properly credited.
- Gather your order details: Have your order number, full name, email address, and the part numbers you want to return.
- Submit a request: Go to our Contact Us page, select “Return / Exchange,” and briefly describe the reason (ordered wrong part, no longer needed, changed mind, etc.).
- Receive RMA & instructions: Our team will email you an RMA number, the correct return address, and any specific instructions. For ROADWEST errors (wrong item shipped, etc.), we may provide a prepaid label.
- Pack your return securely: Use a strong box and proper padding. Include your RMA number inside the package and clearly write it on the outside of the box.
- Ship with tracking: For customer-responsible returns, you must use a trackable shipping service. For high-value parts (bumpers, mirrors, headlights, tanks, etc.), we strongly recommend shipping insurance. ROADWEST is not responsible for returns that are lost or damaged in transit back to us.
Important: We do not accept “collect on delivery” or freight due shipments. Any package sent freight collect will be refused.
4. Return Addresses & Local Drop-Off
ROADWEST ships from two U.S. distribution centers. Your RMA email will specify which facility to use based on where your order originally shipped from:
-
West Coast Distribution Center
25503 Industrial Blvd
Hayward, CA 94545
United States -
East Coast Distribution Center
280 Grand St
Hamburg, PA 19526-1908
United States
Local pickup & drop-off: Customers near these facilities may, in some cases, arrange local pickup or drop-off for approved returns. Appointments are required. Please contact us through the Contact Us page before visiting any warehouse so we can confirm availability, dock access, and instructions.
5. Damaged, Incorrect, Or Defective Products
5.1 Shipments Damaged In Transit
Please inspect your package and parts as soon as they arrive. If there is visible damage to the box or product:
- Take clear photos of the outer box, shipping label, inner packaging, and any damage to the part.
- Keep all packaging materials (box, foam, wrap, pallet, etc.) until the claim is fully resolved.
- Report the issue via Contact Us within 24–48 hours of delivery.
Do not open a standard “change of mind” return for a damaged item. Our team will guide you through the proper freight or parcel damage claim so we can work with the carrier and arrange a repair, replacement, or other solution as quickly as possible.
5.2 Incorrect Items Shipped
If the item you received does not match your order confirmation:
- Contact us within 30 days of delivery with your order number and photos of the part and the box label.
- Once we verify the error, we will provide a prepaid label or other return instructions.
- After the incorrect item is in transit, we will ship the correct part or issue a refund, depending on your choice and stock availability.
For confirmed ROADWEST errors, we cover reasonable return shipping costs and no restocking fee is charged.
5.3 Defective Parts & Warranty Claims
If a part stops working or you suspect a defect after installation, this is normally treated as a warranty claim, not a change-of-mind return.
- Stop using the part immediately if the issue could affect safety.
- Collect your order number, installation date, and clear photos or video of the problem.
- Submit a claim via Contact Us and select “Warranty / Defect.”
We will review the claim under our Warranty terms and may require return of the part for inspection. Depending on the result, we may provide a repair, replacement, or other resolution.
6. Restocking Fees & Special Situations
For most on-time returns of unused products in original condition, ROADWEST typically does not charge a restocking fee. However, a restocking fee of up to 15–20% may apply in situations such as:
- Refused, unclaimed, or undeliverable shipments that carriers return to us.
- Returns received without prior authorization or without a valid RMA number.
- Products returned with missing components, damaged packaging, or signs of installation.
- Large bulk, fleet, or special-order items canceled or returned after production or shipment.
If a restocking fee applies, we will explain it clearly and deduct it from the refund amount. For freight and oversize shipments, please also review our Shipping Policy section on freight/LTL deliveries.
7. Refund Timing & Payment Method
After your return arrives at the designated ROADWEST facility, please allow 3–7 business days for inspection and processing.
- Approved refunds are issued to the original payment method whenever possible.
- Your bank or card issuer may require an additional 3–10 business days to post the credit.
- If the original payment method is no longer available, we may issue store credit instead.
- Original shipping charges are refunded only when the return is due to a confirmed ROADWEST error.
8. Order Changes & Cancellations
If you need to change or cancel an order, please contact us as soon as possible through the Contact Us page.
- Before shipment: Orders that have not yet shipped can usually be edited or canceled without extra fees.
- After shipment: Once an order has left our warehouse, it is treated as a standard return. Shipping charges are not refundable, and you are responsible for return shipping unless the issue was caused by ROADWEST.
- Custom or special-order parts: After production has started, cancellation may not be possible or may involve a manufacturer cancellation charge.
